Your information is important and most of all private - RCBO Electrics (me - Rich Nicholas) is committed to respecting your privacy and will ensure that your information is kept safe and certainly not shared with any third party for data selling and marketing. 

The below information will tell you how I collect, store and process your data.

Your Data - How do I collect it?

I will ask for your data following your initial contact with me, this could be provided verbally, on text or via email from you. The data required from you will typically be your full name, address and contact information (telephone number/email address). I require this information in order to provide a service to you.

How do I store your data and for how long?

Your data will be stored electronically (private PC) and is password protected. As an additional security measure my documentation is also held on my personal Google drive if in the event an issue arises with my PC I can access all information and re-protect where necessary.  I do not use a software package and all documentation is created using Word and Excel. 

As a Sole Trader I am required by HMRC to retain all information for a minimum of 5 years. I will retain your information for as long as I am trading as RCBO Electrics - you can of course request for your information to be deleted once the 5 years have passed. 

How do I process and share your data?

Your data will be processed in the following ways:

Provide a quote/estimate for works requested.

Provide an invoice for payment of completed works.

Provide a receipt to you for works completed.

Provide any necessary certificates to you for works carried out.

As advised previously your information is incredibly important and must be kept secure however on occasions your data may be seen by a selection of companies in order for me to full fill any legal and accounting obligations.

These companies will be:

Electrical membership schemes such as NICEIC

Your name and address information will be uploaded to the above schemes by their secure portal or sent by post using Royal Mail in order for me to register any electrical certificate to you. 

Professional Book Keeper/Accountant 

I am required to produce an annual tax return to HMRC and I do instruct an Accountant to complete this for me. Your data will be shown on any invoice I have raised to you, typically just your name and address that my Accountant would see.

Electrical contractors 

In some circumstances I may have to ask an additional Electrician(s) to complete works with me and therefore it will be necessary for them to know your name and address.

Other than the list above I will not share your data with any other company without  your consent to do so. 

You do have the following rights in respect to your personal data held by me. You can:

Request a copy of any data I hold for you such as copy quotes, invoices and receipts. Please just email me your request.

The right for any data inaccuracies to be rectified.

Request for personal data to be deleted when the information is no longer necessary - please remember that I need to retain information for a minimum of 5 years to adhere to HMRC policies.

I may from time to time have to amend this policy (hopefully not often) however should the need arise any amended version will be uploaded to the website or you can request a copy by email.
